What to Look for When Hiring a Commercial Cleaning Company in Northern Virginia

Most businesses hire their first commercial cleaning company the same way: a quick search, a few calls, go with whoever sounds professional and comes in at a reasonable price. That works out fine sometimes. Other times the problems show up after you've already signed a contract and the honeymoon period is over.

Here's what to actually pay attention to before you commit.

Verify insurance before anything else

This is non-negotiable. A cleaning company working in your office or retail space needs to carry general liability insurance. If something gets damaged or an employee is injured on your property, you want that covered before it happens — not after.

Ask for a certificate of insurance before signing anything. A legitimate company sends it without hesitation. If there's pushback or delay, that tells you something.

Get clarity on what's actually included

"Commercial cleaning" means different things to different companies. Before you commit, get specifics on what each visit covers. Does that include emptying trash, vacuuming, and cleaning bathrooms? What about conference rooms, break rooms, and individual offices? What's considered a standard service versus an add-on?

A detailed scope of work, in writing, is the only way to avoid the conversation three months in where you expected something and they didn't include it. Verbal agreements don't hold up well in those situations.

Ask about consistency

One of the most common complaints about commercial cleaning services is turnover. You agree on a service with one team and then a rotating cast of different people shows up every few weeks with no continuity about how your space is set up or what you care about.

Ask directly: will the same team clean our space each visit? How do you handle scheduling when someone calls out? What's the process if we have a problem with a specific visit?

The answers will tell you more about how the company operates day-to-day than anything in the sales pitch.

Watch out for long contract lock-ins

Some commercial cleaning companies require six to twelve month contracts with significant early termination fees. That's a long time to be stuck with a service that isn't meeting expectations.

Look for companies that offer month-to-month arrangements, or at minimum a reasonable trial period before locking into anything longer. It's a sign of confidence in their own work — if they're good, they don't need to trap you.

Walk-throughs before pricing mean better pricing

Any commercial cleaning company worth hiring will want to see your space before giving you a number. Square footage matters, but so does the layout, type of flooring, number of bathrooms, and how actively the space is used throughout the week.

A company that gives you a flat rate over the phone without seeing the space is either guessing or pricing low to win the job. Both create problems down the road. The walk-through is where the relationship actually starts — and it gives you a chance to see how they operate before any money changes hands.

Pay attention during the walk-through

The difference between a good commercial cleaning company and a mediocre one usually isn't the checklist. It's whether the team paying attention to your space. Are they asking the right questions? Are they noticing the high-traffic areas, the tricky corners, the things that need extra care? Or are they just talking about price?
